Rove Haven Holiday Homes LLC (“we,” “our,” or “us”) is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website or use our services.

Information We Collect

Hereinafter known as the “Holiday Home”

1. APPOINTMENT Rove Haven , in all its capacity, is hereby granted sole exclusivity to manage the Holiday Home, under the terms and conditions of the Agreement. The Client authorizes the Operator to rent out the Property to guests and shall not consent other entity or Operator to provide holiday home rental management services for the previously described Property.

2. AGREEMENT TERM This Agreement will be effective for a period of 12 . 3. SCOPE OF SERVICES
  • Onboarding of the Property a. Gather all documents and payments required to register the Property with DTCM as a Holiday Home and apply for the Unit Permit on behalf of the Landlord. b. Upon completion of furnishing as per set standard of DTCM and the Operator, arrange professional photography, for the purposes of advertising the Property in different marketing channels including the Operator’s website. c. Prepare inventory report of the initial hand-over from the Client, as well as any refurbishment and upgrade on Property content. d. Conduct inspection to identify and address any maintenance issues, ensure active utility connections, and prepare inventory list of Property contents. e. List the Property in the Operator’s Property Management System (PMS), and in all Online Travel Agencies including local marketing portals.
  • Revenue Management a. With due consideration of general market conditions, demand on Holiday Homes and seasonality, use all available data and analytics to assess and set up optimal pricing. b. The Operator shall actively adjust rental rates, in order to maximize occupancy and rental returns. c. Managing the pricing and availability calendar across various OTAs as deemed fit by the Company. The Company will bear in mind any expectations in respect of pricing discussed with the Client but ultimately pricing of the Property shall be at the discretion of the Company based on its expertise and experience and the Company shall not be required to consult the Client before making pricing or booking decisions.
  • Reservations a. Receive offers and reservations. b. Accurate handling of Guest’s payments, ensuring all dues are settled prior to Guest’s check-in. c. Acquire relevant and proper documents from Guests, for smooth property access on arrival.
  • Booking Management a. Cross-reference all Guest’s and booking details added in the PMS with the information on the booking portal, for accurate booking entries and billing. b. Note and confirm any additional items, requirements and services requested by Guests.
  • Guest Relations a. Dedicated point of contact for the Guests throughout their stay. b. Manage payment and refund of Security Deposit, in coordination with the Operations team.
  • Property Management a. Inspection of the Property for quality assurance prior to Guest’s arrival and upon departure. b. Address and supervise any reported maintenance concerns during Guest’s stay. c. Handling of item replacements and/or repairs, lost and damaged by Guests during booked period, with costs to be charged against Security Deposit. d. Liaise with third party contractors for cleaning, maintenance and refurbishment, and act in the best interest of the landlord in acquiring competitively priced quotations.
  • Finance Management a. Accurate posting of all payments received directly from Guests or through the booking channels. b. Accounting of all expenses incurred during the Term of this Agreement. This will be done initially via a monthly statement of account until we are able to give this in real-time via the owners portal, at which point the statement of account will not be sent. c. Handling of utility payments including but not limited to water, electricity, TV cable, internet, gas and chiller charges, on behalf of the Client. d. Manage payments of works completed and/or services and items delivered by third-party contractors, invoiced to the Client
4. OBLIGATIONS OF CLIENT
  • Onboarding of the Property; The Client shall provide the Operator with a full 2 set of keys and 2 access cards including the applicable number of access cards and parking remote (depending on the allocated parking space) for the Property.
  • Provide accurate information, utility account details, documents, facilities and assistance necessary for the Operator to perform its duties and responsibilities in managing the Property as a Holiday Home. Client provides the following lists of documents: • TITLE DEED • Copy of owner’s passport • Account login detailsfor: DEWA, DU/ETISALAT, AC/ Chiller, Gas, etc • Bank Details
  • Ensure active connection of all Utilities(electricity, water, chilled water, gas,sewerage services, TV, internet telephone, fax or other communication service) in the Property, for Guests to use during their stay.
  • Ensure that the Property is provided with all furniture and appliances conforming to standards set by the DTCM and the Operator, which also includes linens, towels, cutlery and crockery depending on number of occupants the Property may accommodate.
  • Obtain Property and Content Insurance as well as Public Liability Insurance to cover claims of personal injury, death or property damage. If Client does not have insurance, the Operator can arrange provision of it, with costs to be borne by the Client.
  • Understands that in case the application of Unit Permit is rejected by DTCM for whatever reason, the Client acknowledges that he/she settle any expenses incurred during the onboarding procedure. Declined application shall render the Agreement null and void, and the Operator shall hand over the Property back to the Client.
  • Commit to settle all payment dues on utilities, common fees, and taxes such as Service Fees, Homeowners Association Fees, Property taxes and ensure all building services and facilities are provided without disruption. Client takes full responsibility of addressing Guest’s compensation claims due to inability to access and enjoy Property amenities and building facilities during their stay and shall not hold the Operator responsible for any claim that may arise from such service disruption.
  • Maintain the Property at all times, which includes doing repairs as soon as possible upon the request of the Company, and promptly transferring the required funds to the Company for any repairs arranged by the Company, in order for the repairs to be completed. The Client acknowledges that a certain amount of wear and tear to the Property is inevitable when carrying out short-term lettings and that making good such wear and tear is the Client’s responsibility.
  • The Client authorizes the Operator to act on his/her behalf and neither interfere with daily operations nor provide instruction limiting the Operator from carrying out services stated in this agreement. Being in the hospitality sector, the Client understands that the Operator may either offer additional services to the guests and/or charge applicable fees as deemed fit, in the performance of Operator’s duties and responsibilities towards Guests. 4.10. Permit the Operator to change the linens, cutlery and crockery every year or whenever the existing ones wear out.
  • Client must notify the Operator 3 working days in advance when planning to visit or access the Property prior to their arrival, which is subject to availability and Operator’s consent. Further, the Client shall not be entitled to make a reservation to occupy the Property during anytime for which the Agent has already issued a confirmed reservation to a rental guest the existing guest wishes to extend their stay. The Operator agrees that the Client may use the property for personal use for up to 30 days per year.
  • Client may book the Property for “House Use”, by logging-in to the landlord’s portal from the Operator’s PMS. “House Use” the Client is liable for Dubai Tourism Dirham charged per night throughout this usage time and any maintenance charges if required. Client shall bear the cleaning, linen change and any other costs incurred whilst occupying the Property.
  • The Client may not take paid bookings for the Property directly
5. FEES AND PAYMENT
  • In consideration of the services rendered for and on behalf of the Client, the Operator shall be entitled to a Management Fee equivalent to twenty one percent (21%) of the Property Rent, directly debited by the Operator from rents collected from Guests, OTAs and other booking channels.
  • The applicable management fee is based on Property rental income, computed as total accommodation price net of all taxes, OTAs and other booking channel third-party processing fees, and does not include any revenue from added service(s) required by Guests.
  • The Operator shall levy any other charges and expenses payable by the Client which includes but not limited to replacement of consumables and amenities, as well as any maintenance and repairs needed for day-to-day operation of the Property as a Holiday Home.
  • The Client agrees to the installation of a key safe box outside the entrance of the property, where necessary. Where the Client has a smart lock installed, full access to the system will be provided to the Operator for the duration of this contract.
6. ACCOUNTING
  • The Operator shall maintain full records of rentals generated and expenses incurred for a given month. This will be presented in a monthly statement of account which can be accessed via the owners portal.
  • The monthly rental income will be deposited by the Operator to the Client’s designated bank account, by the 15th of each month, as per Annex 2 (Bank Account Details), in arrears, with fund transfer charges, if there is any, to be shouldered by the Client. For deposit to foreign currency account, the exchange rate on the day of transfer shall apply, according to local public banking rates.
  • Maintenance and repairs are the responsibilities of the Client. The Operator is authorized to instruct a qualified maintenance provider to carry out necessary repairs or replacements, without the need of landlord’s approval if the cost of such repairs or replacements does not exceed AED 1,000.
  • Invoices for third party contractors will be paid by the Operator on behalf of the Client, using the accrued rental income or the Reserve Fund.
  • The Operator will collect a Security Deposit from Guests, which will be used to replace lost/missing items or repair any damage on the property caused by the Guests during their stay.
7. TERMINATION
  • Both Parties agree to a 90 days notice period from either side after the period of six months. The Client agrees to honour any bookings made prior to the termination and the termination does not waive the obligations of the Client to pay applicable fees to the Operator. The handover of the Property to the Client will be scheduled and completed by the Operator within seven (7) days of the last check-out.
  • In the event of a breach of this Agreement by the Client, including where the Company elects to terminate this Agreement, or the Client seeks toterminate this Agreement prior to the expiry of the minimum contract period of six months, the Company may charge the client a penalty of AED1,500.
  • If the Client cancels or causes a Guest to cancel any booking or, in the event of a refund of a part of the booking (including where such refund has been offerred at the Company’s discretion), the Client shall be required to pay the Company’s full Management Fee for the booking, as well as anycharges which result, including any cancellation charges levied by the Homestay Website and payment processing sites for refunds
8. INDEMNITY & LIABILITY
  • The Client agrees to indemnify and hold harmless the Operator, its officers, employees, or agents from and against all losses, costs, expenses and damages incurred, sufferred or to be incurred or sufferred by the Operator as a result of or in connection with any claim in relation to this Agreement.
  • The Operator is not liable for any services or goods provided by third parties.
  • The Operator shall have no liability to Client or to any third party, for any delays or failures in performance of its duties which are results of circumstances beyond the Operator's reasonable control such as severe weather, power, or other utility cut-offs, burglary, natural disaster, strikes, governmental action, terrorism, war, civil unrest or other similar occurrences. (Force Majeure)
  • Our projection is based on the information we have and the current market. Figures may vary over time depending on the market supply and demand. Rove Haven shall bear no liability if the projected figure is not reached
